Why is my request being rejected due to a Lender's Policy or Policy Problem?

[ILL Requests] Some lenders reject certain formats or material types such as DVDs or VHS depending on their particular Lender policies. Libraries can do this either manually or automatically by setting up a Lending Policy within OutLook OnLine.

To set-up or edit your Lender Policy login as an Administrator and under Staff Dashboard > ILL Admin > Maintain Participant Record > click Lending to pop-up your current Lending Policy. Check-out our Setting Up Lending Policies for Material Types Guide (PDF) for additional information. Please Note: Your Lending Policy is not active until you check-off "Use my library's lending policies to determine if my library should receive requests of specfic item types. Applies only to 'System Checked' items." and click Submit to save!

How can I tell if a library manually rejected my request or the system automatically rejected it due to a Lender policy?

  1. If you see the message "Notes: Reason or condition: Policy problem." then the library manually rejected the request. Please contact the library directly for additional information on why they won't lend that particular item.
  2. If you see the message "Notes: Item not lendable according to lender's policy - lender XXXX skipped." then the system automatically rejected the request because the library set-up a Lending Policy that doesn't allow that format for ILL. Please contact the library directly for additional information on why they won't lend that particular item. They may need to update their OutLook OnLine automatic Lending Policy if it's rejecting that format or material type in error.

Please contact us if you have any additional questions/concerns or would like some assistance updating your automatic system Lending Policy.
