Patron-Initiated ILLs

Questions related to patron-initiated interlibrary loans.

Can I upload a document directly to OutLook OnLine for the Borrower library to download?

[ILL Requests] Lender libraries can upload/attach PDF documents, such as digital or photocopy versions of a articles, to a request within OutLook OnLine. Borrower libraries can then download the attached document directly within OutLook OnLine!

Check out the guides with screenshots below for how to upload (Lenders) and download (Borrowers) attachments/documnts or watch the new videos for a quick overview:

Can our library set the idle patron time-out to a specific time?

[Permissions/Settings] Unauthenticated guest patrons are timed-out of any search results after 9 minutes of inactivity. If a patron is idle for 9 minutes they are provided with an alert tone and pop-up counting down their session expiry within 30 seconds. They are given the option to continue the session if desired.

Can I set ILL request limits on my guest patrons?

[Patron-Initiated ILLs] Using Auto-Graphics feature of Patron Categories, it is now possible to set ILL Request Limits on unauthenticated guest patrons.

Request limits can be set by "number active", "number per week", or "number per month". Patron requests are rejected on the basis of their name (Firstname and Lastname) and their Password/PIN entered during the creation of the requests. For more information check-out the guide with screenshots below or the video tutorial!

How do Reading Centre's submit ILL requests?

[ILL Requests] As of October 2017, Reading Centres can now submit their requests to the BC Public Libraries Branch (BVIL) as logged in patrons. This allows more account permissions, such as cancelling requests and changing passwords, than the previous guest requesting method!

Can I customise the messages in the patron "Track ILL Requests" feature?

[Patron-Initiated ILLs] The "Track ILL Requests" button can be activated for your patrons when you turn-on Patron-Initiated Interlibrary Loan requesting. This feature allows patrons to login, using the temporary name and password entered when they created their guest request, and view the current status of their patron requests.

Why is the Track ILL Requests feature not showing for patrons?

[Patron-Initiated ILLs] While activating Patron-Initiated Interlibrary Loans you can also activate the "Track ILL Requests" feature for guests/patrons next to the Login button/link in OutLook OnLine. This allows guest patrons to create a password when submitting their request and track the progress of their ILLs.

Why are my OutLook OnLine system email messages to patrons being bounced back or blocked?

[Technical/Bug] You may sometimes receive bounced-back or blocked email messages from various Internet providers (eg., if you have OutLook OnLine patron system email message notifications activated under your Staff Dashboard > ILL Admin > Maintain Participant Record > Patron Notices. This unfortunately usually occurs because the email providers have marked OutLook OnLine messages as spam. This may also occur if your own email provider hasn't whitelisted or allowed the OutLook OnLine server's IP addresses.

Why is OutLook OnLine asking Guests/Patrons to Login before they can submit their request or search the catalogue?

[Patron-Initiated ILLs] The last step in activating Patron-Initiated Interlibrary Loans involves checking off the "Guest" option under Staff Dashboard > ILL Admin > Lender Info > Show Request This Button.

Where can I add my ILL Restrictions now that I've included a Privacy Disclaimer notice on my forms?

[Patron-Initiated ILLs] If you have activated Patron-Initiated Interlibrary Loans and are collecting personal information it's likely you've also added the Privacy Disclaimer notice required by BC Law when collecting personal details (eg. Last Name, Email). Unfortunately this means you may have to move any ILL Restrictions or ILL Disclaimer notices to other places within OutLook OnLine due to the 300 character notice limit.

Why is my request missing the item Title or have an erroneous Title?

[Technical/Bug] Requests may be created with an underscore "blank title" or other title bugs, eg. {BK} or {B}, when a catalogue record has been uploaded that contains multiple 245 MARC Title tags. The system expects that the 245 tag will be unique and unfortunately creates these errors.
